Count the full cost of owning the rental

A missing cost makes the return look better without making the property better.
Use three budgets: cash needed to acquire and prepare the property, recurring operating expenses, and future capital replacements. Keep a dedicated liquidity reserve separate from the household emergency fund. Replace generic estimates with quotes and inspections as the evaluation progresses.
Before the first rent payment
Include down payment, closing and financing costs, repairs, furnishing, permits, inspection costs and the time spent preparing the property. Ask who pays utilities, insurance and loan payments while no rent is arriving. The Deal Lab setup field should include strategy-specific launch costs and carrying costs you expect.
During normal operations
Account for property taxes, insurance, HOA dues, utilities, management, routine maintenance, leasing or platform fees and cleaning economics. Investigate whether taxes may change on acquisition. Obtain an insurance quote that describes the intended rental use. Fee percentages can use different revenue bases—read the contract.
When something major wears out
An inspection and itemized replacement schedule are stronger than an unexplained rule of thumb. Keep roof, HVAC and other major replacements distinct from routine repairs. Setting aside money is an internal allocation; actually spending it is a cash outflow. Do not count both as separate losses in a consolidated reserve balance.
A property has $8,000 of cash flow before replacement funding. If you plan to set aside $3,600 for future replacements, distributable cash is $4,400. If you later spend from that reserve, track the expenditure without counting the earlier transfer twice.

Collect insurance, management and major repair quotes. Itemize taxes, utilities and association costs. Record what is known and what remains an estimate.

Putting property taxes and insurance in operating expenses and also counting them again inside an escrow-inclusive mortgage payment.
